CooperZadeh HOA Management ("CooperZadeh," "we," "us," or "our") operates this website (hoa.cooperzadeh.homes) and administers the resident portal hosted by Buildium. This policy explains what information we collect, how we use it, and the choices you have.
1. Information we collect
We collect information you provide directly:
- Residents: name, mailing address within the community, lot number, email, phone, household composition, vehicle information, emergency contacts
- Payments: processed by our property management platform (Buildium). Card numbers and bank account numbers are handled by Buildium and its payment processors and are not stored on our servers
- Requests: information you submit through ARC requests, maintenance reports, contact forms, and other submissions
- Communications: records of emails, letters, and messages sent to the board or management
We also collect limited information automatically when you visit this website: IP address, browser and device type, pages visited, time on site, and referring URL. This is handled by standard web analytics. We do not sell this data and do not use it for advertising.
2. How we use information
- Operate the HOA: collect dues, enforce CC&Rs, manage common areas, process ARC and maintenance requests
- Communicate: announcements, meeting notices, billing, violation notices, board correspondence
- Maintain records required by Texas Property Code Chapter 209 and the association's governing documents
- Improve this website and the resident portal
3. Who we share information with
- Board members: to govern the association and review requests
- Management agent: for day-to-day operations
- Vendors: landscapers, accountants, attorneys, auditors — bound by contract to use information only as needed for their services
- Buildium: our resident portal and accounting platform
- Government or legal process: if required by subpoena, court order, or applicable law
- Successor management: if management changes, records pass to the new manager subject to the same protections
We do not sell or rent your information.
4. Your rights
Texas residents may request access to association records about them, subject to Texas Property Code Chapter 209. You may also request correction of inaccurate records and, where consistent with our record-retention obligations, deletion. To exercise these rights, email hello@cooperzadeh.homes.
5. Data retention
Resident and account records are kept while you own property in CooperZadeh and for at least seven years after, consistent with Texas record-retention requirements. Governing documents and meeting minutes are retained indefinitely.
6. Security
We use commercially reasonable safeguards. The Buildium portal uses TLS encryption in transit. No system is perfectly secure; if a breach affecting your information occurs, we will notify affected residents as required by law.
7. Children
This site is not directed at children under 13. We do not knowingly collect data from children.
8. Changes to this policy
We may update this policy. Material changes will be communicated to residents via the resident portal or email, and the "Last updated" date above will be revised.
